JOB DESCRIPTION
CLERK’S ASSISTANT
Full Time: Pay $25.00- $28.00 per hour
Under direct supervision of the Clerk. May be appointed as Deputy Clerk, and serves in that
capacity at the pleasure of the Clerk.
Essential Job Functions:
Physical requirements described herein are representative of those requirements which must be
met by an employee to successfully perform the essential job functions of this job. Reasonable

these essential job functions.
The employee must be able to use word processing programs such as Microsoft Office and type
various documents including minutes, memos, resolutions, notices, time reports, etc.
The employee must be able to maintain the records of the Clerk’s office. To do so, he/she must
be able to open up, maintain and close files, requiring lifting, standing, bending, walking,
manipulation of the files within his/her office, as well as the Clerk’s office. The employee must
also be able to move about to file and retrieve files from storage.
In addition, the Clerk’s
Assistant is required to maintain and update the official records for the Township and be able to
file and retrieve these records from a secure location.The employee must be able to work in inclement weather from time-to-time to perform the
duties related to the management of the Township’s cemeteries. This includes dealing with the
potential of extreme cold, deep snow, rain, and heat.
The employee must be able to answer the telephone in English and communicate with others,
must be able to make calls, schedule appointments and maintain the calendar for the Clerk’s
office. The employee must be able to open, sort, read and distribute incoming correspondence, both
regular and electronic.
Typical Responsibilities:
The Clerk’s assistant, if also the Deputy, is authorized to act as Clerk in the event of the
Clerk’s absence, sickness or other disabilities, except voting on the Township Board.
Process accounts payable invoices, entering into computer system, running payable checks, assist with payroll processing.
Serve as recording secretary at Township Board meetings and prepare minutes for the
Township’s permanent record.
Assist with voter registration, accept voter registrations, enter and update computer
master files, processing voter cancellations, etc.
Assist with elections, prepare absentee ballot applications, assemble ballot material,
process returned ballots, perform tasks necessary to test election equipment, etc. Assist
the clerk on Election Day. May be necessary to serve as an Election Inspector in the
event a position needs to be filled at the last minute.
Assist the Clerk in performance of duties related to the cemeteries
Scan and maintain, and retain records as directed by the Clerk.
Assist Clerk with on line newsletter.
Be able to be a Public Notary. Requirement is there are no felony convictions.
Any other duties as required by Clerk.
Secondary Responsibilities:
Assist in other areas of office support, by answering the telephone, and provide customer
service at the counter. Provide accurate, clear and concise answers to questions. Process
cash and/or credit card payments accurately.
Provide support services for the Office of the Clerk and other departments as needed at
the direction of the Clerk.

Employment Qualifications:
EDUCATION: High School graduate or equivalent. Prefer some advanced education with
emphasis in administration or office procedures.
EXPERIENCE: Must be able to meet prescribed typing and computer standards in effect at the
time of hire. Must have strong working knowledge of Microsoft Word, Excel, Outlook and
Publisher.
Possession of a valid Michigan Vehicle Operator’s license and safe driving record.
Strong interpersonal communication skills, both oral and written.
Pass criminal and driving background check.
Certification by International Institute of Municipal Clerks attained within four years of date of
hire.
These qualifications represent guidelines; alternative qualification may be substituted if
sufficient to perform the duties required by this position.
Must be a registered voter or meet the requirements to be a registered voter in the State of
Michigan.
